ABSTRACT SUBMISSION GUIDELINES

General Information & Deadlines

 
 1. 
Abstracts must be submitted electronically via the online submission system by the deadline of June 28, 2026. Abstracts received via e-mail or after the deadline will not be accepted and, therefore, will not be considered for the program or publication.

 2.  Abstracts can be submitted for the following categories and scientific topics:

Clinics (13 Topics)

  • CNS
  • Base of skull
  • Eye
  • Pediatrics
  • Breast
  • Lung
  • GI
  • GU
  • Sarcoma
  • Lymphoma
  • Head and neck
  • Gynecology
  • Metastatic Disease

Physics (8 Topics)

  • Beam delivery and nozzle design, workflow efficiency
  • Commissioning
  • Absolute and relative dosimetry
  • Quality assurance & Verification
  • Treatment planning
  • Dose calculation and optimisation
  • Image guidance and adaptive therapy
  • 4D treatments and motion modelling 

Biology (7 Topics)

  • Radiobiology
  • Drug and immunotherapy combinations
  • Enhanced biology in treatment planning 
  • Mathematical modelling and simulation
  • Translational and biomarkers
  • Radiopharmaceuticals
  • Heavy particles/carbon/helium/BNCT

Multidisciplinary / Other (5 Topics)

  • Ongoing clinical trials design and early outcomes
  • Flash
  • Facility administration, operations and set up
  • Practice patterns
  • Education

 3.  A preferred presentation method must be selected during the submission from the following options:

  • Oral Presentation
  • Poster Presentation

 4.  Abstracts can be amended in the online submission system until the submission deadline of June 18, 2026.

 5.  All abstracts will be reviewed by the PTCOG-NA Scientific Program Committee, which will consider their formal aspects and content. They will decide which abstracts will be accepted and may reconsider the final presentation type.

 6.  PTCOG-NA will accept abstracts presented during other events.

 7.  Accepted and registered abstracts will be made available electronically to all meeting attendees and published in the Abstract Book in the International Journal of Particle Therapy. Rejected abstracts will not be displayed or published. Please have your abstract checked for correct spelling, punctuation, grammar, and formal structure. PTCOG-NA reserves the right to edit abstracts if necessary before publication within the PTCOG-NA Annual Meeting or IPTJ Journal.

 8.  All presenting authors will receive an acceptance/rejection notification via e-mail by August 6, 2026, and are obliged to register by August 27, 2026.

 9.  Submission of an abstract constitutes a commitment to attend the Annual Meeting or to send a qualified substitute who is capable of presenting the work and answering related questions.

 10.  10. An invitation to submit an abstract does not constitute an offer to cover travel, accommodation, or registration expenses associated with the Annual Meeting.

Abstract Formatting

 
 1. 
 All abstracts must be written in English.

 2.  When submitting your abstract, consider and choose an appropriate category, scientific topic and presentation method.

 3.  Up to 30 authors can be submitted for one abstract (including the presenting author).

 4.  The maximum abstract title length is 20 words and must be submitted using the Sentence case - capitalizing only the first word and any proper nouns, while keeping all other words in lowercase (e.g. This is the title of my abstract).

 5.  The maximum abstract text length is 250 words.

 6.  Up to 2 pictures/charts/tables can be included within the abstract text.

  • Pictures must be saved in .jpg
  • Charts can only be inserted as a picture (saved as .jpg)
  • Tables can only be inserted as a picture (saved as .jpg)

 7.  The number of submitted abstracts per one submitter/presenting author is not limited.
